The Convention Industry Council and Social Tables have partnered to create the Pocket Planner, a meetings and events calculator app that helps planners with F&B, staffing, and safety requirements. Now available, Pocket Planner links directly to the CIC Manual, the go-to reference for those studying for the Certified Meeting Professional designation, overseen by the CIC.
Compatible with iOS and Android devices, the free app came about as a result of customer demand. “In speaking with planners, we found a shared frustration as it pertains to scaling product and staffing quantities to attendees,” said Dan Berger, CEO and founder of Social Tables. “As a company that has been shaped by feedback from our customers, we knew we had to provide a solution. That’s when the idea of an app hit us.” The existing Social Tables app, Check-in, places an event diagram and attendee list into the hands of a planner on-site.
CIC’s Pocket Planner will have a calculator function, which will allow users to input the number of event attendees into an algorithm that recommends quantities of food and beverage (including liquor, coffee, and standard drinks), safety requirements (number of fire extinguishers, location and amount of exit space), and staffing.
“Promoting professionalism is at the core of CIC’s mission and we are committed to the growth of and anticipating the needs of industry professionals,” said Karen Kotowski, CAE, CMP, chief executive officer of the CIC. “The Pocket Planner app allows us to do both of those things seamlessly. The calculations are based on industry best practices and established standards that CIC uses in our Manual, so it was a natural partnership. The app is another tool that allows planners flexibility in applying their knowledge, not a substitute for attaining it. Kudos to Social Tables for creating a useful platform that is accessible, and at no cost, to everyone in the industry.”
Through the app, planners will be able to purchase a copy of the CIC Manual for use in studying for the CMP, and for reference in their day-to-day operations. The CIC is working on a mobile version of the manual, which will be added to the Pocket Planner App once it is released.
In a separate announcement, the CIC announced a new partnership with Avila Government Services Inc. and its online tool for measuring the sustainability of a meeting. CIC member organizations will now have access to the Sustainable Meeting Planning Program to assist in planning, managing, and scoring green meetings.
“Since CIC launched the APEX/ASTM Environmentally Sustainable Meeting Standards in 2012, we’ve watched the industry continue to curate and share resources on green meetings,” said Kotowski. “The Sustainable Meeting Planning Program is a prime example. One of the greatest benefits of the software is its scoring system, allowing planners to better track and benchmark their meetings against the APEX/ASTM standards.”
The SMPP tools help a planner navigate the APEX/ASTM standards through scoring forms and checklists, which work hand in hand with the standards.
Features of the SMPP program include:
▪ SMPP Policy Manual, to guide meeting planners through the steps of sustainable planning
▪ Checklists to assist meeting planners with sustainable practices
▪ Scoring Forms for meeting planners to score their meetings and track sustainability improvement against the APEX/ASTM standards as well as the ISO 20121 standard and Global Reporting Inititative reporting format
▪ Templates to simplify management review and sustainability reporting
▪ Online directories of meeting planners and companies focused on sustainability
A special CIC discount code will entitle the purchaser to a 50 percent discount on the SMPP product. Find more information about the discount and the APEX/ASTM Environmentally Sustainable Meeting Standards at the CIC Web site.
